Office / Operations Coordinator The Woodlands 2106476

We are currently looking for an experienced Office / Operations Coordinator to work out of our Houston, Texas location.

    Primary Duties:

    • Answering telephones, photocopying, filing, coordinating mail and couriers as well as preparing and distributing correspondence
    • Collection and maintenance of documents for employee files
    • Payroll and benefits data entry and submission
    • AP/AR and employee expense review, tracking, submission and follow-up
    • Sales and purchase order receipt, delivery and input
    • Assisting in the coordination of training courses, including scheduling, booking resources, compiling required materials and managing course related inventory
    • Assist with the creation of quotes and proposals
    • Ordering office/training supplies and equipment as required
    • Assisting, if required, to co-ordinate computer requests, phone and office moves and other installations
    • Booking travel arrangements, as required
    • Maintaining and updating various contact and distribution lists
    • Potential research and/or review of administrative processes to improve upon the products, services and support provided

    Essential skills/qualifications:
    • Post-secondary education in a related field
    • 3 years proven track record of relevant practical experience
    • A high level of proficiency in MS Office (Word, Excel PowerPoint, Outlook)
    • Strong organisation and planning skills with the ability to prioritise to meet deadlines
    • Attention to detail and strong data entry and numeric skills
    • Excellent written and verbal communications skills at all levels of the organisation
    • Excellent interpersonal skills and the ability to represent the company in a professional manner
    • Demonstrate an uncompromising commitment to Quality, Health, Safety and Environment

    Desirable:

    • Knowledge of procedures and standards as they apply to industry
    • Bilingual - English and Spanish
